Commercial Real Estate Sales Guide

FIELD GUIDE 03 · COMMERCIAL PROSPECTING

Plan a useful next conversation

A good first conversation is not a pitch disguised as research. It makes one clear question easier to answer and leaves room for “not now.”

The objective is not to force a meeting or infer a transaction from a signal. It is to make the next exchange relevant, brief and easy to decline.

Start from what you know

Review the source trail. Separate verified facts from assumptions. If the signal is an old lease listing, business address or data-vendor flag, do not repeat it as settled fact. Find a neutral question that is still useful if your hypothesis is wrong.

Set one useful objective

Choose the smallest outcome that helps both sides decide what happens next: confirm an appropriate contact, learn whether a future conversation is welcome, or ask permission to send one relevant item. Do not stack a valuation, tour, representation pitch and data request into an opening.

  1. Context: explain why you reached out and the limited public fact, if appropriate.
  2. Question: ask one open, low-pressure question.
  3. Choice: provide a clear way to decline, redirect or choose a follow-up.

Be clear about role

State who you represent, or whether this is a general introduction, in a way that fits the circumstances and professional obligations. Check existing representation, conflicts and permissions before advice or sensitive information. Rules vary; this is not legal advice.

Ask permission before sending material or setting a reminder that assumes consent. Respect requests not to be contacted and follow applicable law, brokerage policy and professional standards.

Close with a next step

Record only what is necessary: date, method, actual statements, preferences and any agreed follow-up. Keep interpretation separate. If timing is unconfirmed, make no timing claim. Silence is not agreement; “not now” can mean no follow-up or a date the contact chooses.

A thoughtful follow-up continues the person’s stated interest; it is not a sequence triggered by a guessed event.
